Checklist

Ready for your first Sunday.

A checklist for your first service with Voclyn: what to set up during the week, what to rehearse, and what to do on the morning.

Everything happens in your dashboard and at the sound desk; nothing needs installing.

During the week

  1. Pick the room. Most churches have one. Each room has its own link, QR code and console, so the phones, the screen and the desk must all use the same one: open it in Rooms & QR.
  2. Its languages. In the room’s Languages, list the languages spoken at the front (the first is your main language), then your own languages for phones, in the order you want them, and turn the AI voice on where it should read aloud.
  3. The words people notice. In Glossary, add your pastors’ and elders’ names, your ministries and rooms, and your church’s words for God and for the service: the glossary.
  4. The person at the desk. In Team, invite whoever runs the sound desk as an Operator: they can start and stop services and see transcripts, without changing your settings.
  5. The cable. A spare aux send or the desk’s USB output into a laptop, or a phone with an adapter: sound from the desk.
  6. The QR codes. Print the kit in Rooms & QR: a poster, table tents, pew cards and a slide. The link doesn’t change unless you change it, and a changed link stops the printed codes.
  7. The big screen (Chapel, Church and Campus and the free month): open the room’s screen link on the projector computer once, and read it from the back row: the big screen.

One rehearsal

  1. On a weekday, open Go live at the sound desk, press Check the sound and look for “Good level” while someone speaks into the pulpit microphone.
  2. Hold the button to go live, about half a second. Have someone read a passage, say the pastors’ names and switch between your languages.
  3. Scan the room’s code with two or three phones: one on the church Wi-Fi, one on mobile data, one in the back row, with earbuds in and Listen on.
  4. Try Worship, then Speech, so the desk knows what phones show. Then hold to end.
  5. Ask a bilingual member to read along and note what was wrong. Most of it will be names and church words: add them to the glossary.

On Free, a service shorter than 10 minutes is a rehearsal and doesn’t count towards the month’s 6 hours.

On the morning

  1. Before people arrive, the laptop or phone on its charger at the desk, sleep turned off, and Go live open. Check the top bar names the right room.
  2. The sound. Check the sound until the console says “Good level” while someone speaks.
  3. The list on the Go live card ticks the level, the internet and the screen staying on. If it says “Turn off sleep on this device”, do it in the device’s settings.
  4. Your own phone. Scan the code on the console’s “Show the congregation” card: it should say “The service hasn't started yet.” Phones that open early wait like this and start by themselves.
  5. The screen shows your QR code and “Scan for your language” while people arrive.
  6. Go live when the service begins: hold the button for about half a second.

During the service

  • Worship. Tap Worship (W) when the singing starts and Speech (S) when someone speaks. Songs aren’t translated.
  • A break or a private moment. Break (B) rests the captions. Hold Private moment for prayer requests and members’ news: captions are hidden on every phone, and nothing is saved.
  • Keep the console open. Captions come from its page: leave it in front, on its charger. If it closes, the service waits a minute and a half for it.
  • If something stops, here is what to do. The help button in the console’s top bar has these pages and our email.

Afterwards

  • Hold to end, for about a second. Every phone shows that the service has ended.
  • If the room saves transcripts, the service is in Sessions: correct a line there, and save a name or word to the glossary for next Sunday.
  • Ask the families who used it what they noticed.

Talk to us

A person answers hello@voclyn.com Sundays 7:00–13:00 Vancouver time. Say which church and room it is (the link people scan), what the console and the phones show, and add a screenshot if you can.

Outside those hours, write anyway: we answer as soon as we can.
